Who can make Friends in Hellodox?
Only Verified Doctors and Medical Students can add friends in HelloDox. We do not allow unverified users to add the friends as HelloDox is driven by the objective of “Run By Doctors and Medical Students”. In order to keep fringe and unverified members out of the professional connections of a medical professional, HelloDox has adopted the strict policy of “Only for Doctors and Medical Students”. Every doctor and medical student, who has been affiliated and recognized by Government of India, is eligible for HelloDox membership.
A member has to submit the following document (Online or offline) for verification.
Profile is not VERIFIED unless the user does not provide an evidence of legal medical practitioner or medical Student under acts of Government of India or State Governments in Republic Of India. Only a VERIFIED User can use all services of HelloDox.

What is the difference between Friends and Followers/Following?
HelloDox has both “Friends and Followers” to build and expand the HelloDox social network. We recommend doctors/medical students (users) to add others as Friends- if the purpose is to share information, documents, patient information and mails among each other. If the intent is to just follow the latest posts from the others, the user can follow one or many doctors/medical students.
Doctors can always make followers as friends. Similarly following doctor/medical students can also be added as friend.
COOKIE POLICY
HelloDox uses cookies and web log files to track site usage. A cookie is a small data file which resides on your computer which allows us to recognize you as a User when you return to the HelloDox website using the same computer and web browser. If you have logged in HelloDox for the first time; next time when you visit the HelloDox website, the cookie will allow us to recognize you as an existing use. In this way you will not need to login again. Our cookie policy will assist you in time saving and better browsing capabilities.
However, if you log out of the HelloDox website you will need to re-fill the login and password credentials to log in to your account. As global standard practice, we use cookies to remember the user preferences and save users’ time. Most browsers are initially set up to accept cookies, but you can reset your browser to refuse all cookies or to indicate when a cookie is being sent.
COPYRIGHT POLICY
What is the policy to External Links and Documents?
Doctors (Users) will have an option to insert links of 3rd part websites. HelloDox creates a preview to the link and internal users of the Website can browse to the external site through published links. Authenticity of external links is not the responsibility of HelloDox. We do not endorse or authenticate the validity of external links. The purpose of allowing links to be posted is to share knowledge and ideas between participants. Users are recommended to post responsibly.
Doctors (users) will have multiple options to share External documents in HelloDox. For example: Doctors can share the Documents through Internal Mail, Virtual Clinic and HDiscuss wall. Authenticity of external and 3rd party documents is not the responsibility of HelloDox. We do not endorse or authenticate the validity of external or personal Documents. The purpose of allowing users (Doctors/Medical Students) to upload the documents is to maximize the degree of collaboration between stakeholders.
HelloDox does not allow you to upload the executables (exe), Library Files(.lib), scripts and DLLS.
What is the Sharing policy in HelloDox?
HelloDox allows registered members to share posts, comments, documents and patient data with other doctors and medical students within HelloDox community. Users can share it privately with selected acquaintances or with every user in HelloDox. HelloDox empowers users to exercise restraint while posting the comments and posts. The objective of various social walls is to encourage knowledge sharing and professional connection building. We treat Medical Professionals as respected and law abiding citizen, who will respect the social decorum while posting.
HelloDox provides “Report Abuse” feature to Doctors. We will collate the complaints from users and Admin will duly take decision to delete the post/comment or bar the user temporarily, if the posts were found offensive. Pictures can also be shared in private community within friends and with overall HelloDox community. We will not audit each uploaded and shared document, unless the report is. We provide the right to keep documents private to users, unless they chose to share with other members. We however recommend that users do not upload and share offensive images. If reported by community users, admin will have to take punitive actions against users or their comments for the breach of code of conduct. We might delete the shared image or temporarily ban the users, if the documents are offensive.
HelloDox is not responsible for documents and posts, posted and shared by users of website and application. User’s discretion is advised.
What is the Crawling Policy in HelloDox?
We believe in the philosophy of “Only for Doctors, Run by Doctors and Managed by Doctors”. In order to strictly follow this guideline, we have strict Copyright policy for 3rd part websites and Crawlers. Our data is not for sharing and if crawlers and hackers are identified stealing data from HELLODOX; they will be liable to legal notice and criminal procedures.
PRIVACY POLICY
Policy
We do not sell share or rent your personal, professional and educational information to any other company for sales and marketing purpose. Each and every information and communication thread provided by users will be kept private to the website and will remain safe with our superior storage and encryption systems.
Once a registered user, Doctors can add various details to their profile. Each appended record will be either kept personal or public according to the settings selected by doctors. If doctors have selected public, the information can be seen by other registered members in HelloDox website.
HelloDox also collects publicly available information about stakeholders in health care sector, such as hospitals, Clinics and Drug stores. The owners can claim their profile and/or create new records for their advertising purpose.
Those who do not want to publish the information can choose not to add the additional information or make it invisible to others. However there are certain mandatory fields - such as Email ID and Phone number for advertisers, for registration purpose. By default, email address will not be published unless you want to change the visibility to public.
If an authorized third party, such as an attendant in doctor’s clinic or staff in office, registers the user on their behalf, both the third party and the user will be deemed to have accepted the privacy policy.
What we do with your personal documents?
What happens to personal documents in case of deactivation?
Users can upload private documents to HelloDox. Doctors and medical students can upload private documents and documents related to their patients in Virtual Clinic Document Storage. We keep the documents private and it will not be visible to any other user, unless the user who uploaded the document, choose to share it with his connections in the website.
The stored documents are not meant for sell or monetization. We keep those documents pricy to uploader. We, in no means, will sell or share those documents with external vendors.
In the case user deactivates the account, the documents will be still tagged with the account and hence will be kept in frozen state till the user reactivates the account. The documents will not be shared with any external vendor for any reason.

How does Job Search work in HelloDox?
HelloDox provides “Search and Apply for Jobs” features to medical professionals. The objective of this feature is to provide the creator of jobs a unique opportunity to directly connect with applicants. This feature is restricted only to the members of HelloDox community. Only registered Doctors and Medical Students can post and apply for jobs.
HelloDox does not vouch for authenticity and validity of posted Jobs. The job creator, who is the registered user in HelloDox, is the sole owners of posted jobs. Job seekers are recommended to interact with job poster to get the detailed information about posted jobs.
When we can disclose the information?
Our business policy is not to share your personal and professional information with any 3rd party vendors. However in exceptional circumstances, we might have to disclose the information in adherence to our privacy policy. Those circumstances are:
- • In case of acquisition of KreativSARG Technology Solutions or HelloDox by a new company. In such a condition, notifications will be sent to each user. The acquiring company will also adhere to the listed set of privacy policy.
- • If and when directed by civil or criminal subpoenas , or under the direction by law enforcement agencies.
Users have right to know about the details of personal record stored with HelloDox, under Information Technology Act, 2000. Users can write an email to support@HelloDox.com to speek, clarify, contest and suggest any information or grievances. Our legal team will quickly work with you to resolve the complaint and modify or delete the conflicting information.
VIRTUAL CLINIC POLICY
How does “Virtual Clinic” work?
The module, Virtual Clinic, will enable Primary Physicians to communicate and collaborate with specialists. HelloDox allows physicians to share Documents, Images, Medical Reports and Diagnosis of patients with each other. HelloDox advices Doctors (Primary Physicians and Specialists) to use discretion while sharing diagnosis, symptoms and recommendations regarding a patient’s case history. HelloDox allows you to acknowledge, recall and selectively share the messages (posts) according to medical IT guidelines. The objective is to allow a transparent communication between physicians and shorten the time of decision making. Virtual Clinic restricts the “Right of consultation” invite to primary physician.
Only a primary physician can transfer the right of being a “Primary Physician” to another consultant. In case the patient deceases or ceases to consult the primary Physician; the latter can deactivate the Patient profile page in Virtual Clinic. The page can be re-activated again in future- if the patient re-starts the consultation service with primary physician.
Primary Physicians have option to share the posts (comments) on Virtual Clinic wall with either 1 or many Specialists. If shared with 1 Specialist, the post(s) will appear in both the primary physician’s wall and specialist’s wall. If shared with multiple Specialists, the post(s) will appear in multiple walls of all participants.
Specialists cannot post PUBLIC posts in Virtual Clinic. The philosophy is that the primary physician is the owner of a patient’s profile and decisions. Specialists are stakeholders in decision making and are advised to facilitate physician in his/her decision making. Specialists can only post targeted and private messages.
Doctors are not recommended to share the information of Patients beyond the consultation Circle. HelloDox will not be responsible for any untoward behavior and unethical code of conduct by either primary physician(s) or Specialist(s). We do not endorse the private cases to be discussed in Public Wall of HelloDox. If the physician chooses to discuss the case beyond consultation circle; HelloDox recommends doctors to advice discretion. According to HelloDox policy of Patient Privacy, name and profile of patients should not be disclosed in public posts, beyond Virtual Clinic.
HelloDox, however, does not vouch for authenticity, accuracy and validity of any information, document and diagnosis history of any patient in the website and in Virtual Clinic Module. We have left the right of authenticity to Physicians and Specialists. Virtual Clinic module is meant to be a professional chat around a complex case and hence users are recommended to exercise restraint and post responsibly.
